PetPlaybook Privacy Policy

Last Updated: September 24, 2026

INTRODUCTION

This Privacy Policy explains how PetPlaybook ("PetPlaybook," "we," "us," or "our") collects, uses, and discloses personal information when you use our mobile application, our website, and related services (collectively, the "Services"). PetPlaybook helps pet owners document their pets' routines, care instructions, and personality — through a guided onboarding conversation — so that family members, sitters, and other caregivers can look after their pets consistently.

By using the Services, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Services.

Information We Collect

Owner (Account Holder) Information

Name

Phone number

Zip code — collected for general regional analysis only. We do not collect your full street address, and we do not request or use device location permissions/GPS data.

Email address — note that if you sign in with Apple, this may be an Apple private relay address rather than your real email.

Optional profile photo

Pet Information

Onboarding conversation content. PetPlaybook's onboarding is a guided conversation used to build your pet's care Playbook. Through it, we collect information about your pet's routines, feeding schedule, medications, allergies, behavior, and health.

Pet photos you choose to upload.

Insurance Information (Sensitive)

If you choose to add it, we collect your pet's insurer name and policy/member number. We treat this as sensitive information. It is stored as part of your pet's profile and is only displayed within the emergency view — the summary you actively choose to share with a caregiver or veterinary provider (for example, via a link). We do not use insurance information for any purpose other than displaying it back to you and whomever you choose to share it with.

Caregiver Content

Caregivers do not create their own PetPlaybook accounts. When you invite a caregiver or a caregiver adds notes through a shared link, we collect:

The caregiver's name and contact information (email or phone), so we can deliver the invitation/link;

Notes (text) and optional photos the caregiver adds while helping look after your pet.

See "Caregivers" below for more on how this works.

Diagnostic and Technical Information

Error and crash data, collected automatically to help us find and fix bugs.

Device push notification token, used to deliver push notifications to your device.

Advertising Measurement

We advertise PetPlaybook on Facebook and Instagram, and we use Meta’s software in the app to learn which ads lead people to install and subscribe. If you allow it (on iPhone, through Apple’s “Allow Tracking” prompt), we share your device’s advertising identifier, the fact that the app was installed, and a small set of in-app events with Meta: creating an account and finishing your pet’s Playbook. Our subscription provider, RevenueCat, also tells Meta when a free trial starts, a subscription begins, or it renews. We never share your pet’s information, your onboarding conversation, health or insurance details, or your caregivers’ information with Meta. You can turn this off at any time (see “Advertising Tracking” under “Your Choices and Rights”).

Subscription Status

We (through RevenueCat) receive your subscription plan and status (e.g., active, lapsed). We do not collect or store your payment card details — see "Subscriptions and Payments" below.

Information from Third-Party Sign-In

If you sign up or sign in using Sign in with Apple or Google Sign-In, we receive basic profile information (such as your name and an email address, which may be an Apple private relay address) from that provider, in accordance with your privacy settings there.

How We Use Your Information

We use the information described above to:

Create and maintain your account and your pets' Playbooks;

Power the onboarding conversation and generate care instructions for your pet (see below);

Enable you to share pet profiles, care information, and the emergency view with caregivers you choose to invite;

Maintain your subscription status and provide the features included in your plan;

Send you service-related communications, such as confirmations, updates, and support responses;

Send you push notifications and, where permitted, product updates, which you may opt out of at any time;

Send you our newsletter by email, if you’ve opted in, which you may opt out of at any time;

Measure how well our ads on Facebook and Instagram work, such as whether an ad led to an install or a subscription, where you have allowed it (see “Advertising Measurement” below);

Monitor app stability and troubleshoot technical issues using diagnostic/crash data;

Detect, investigate, and prevent fraud, abuse, or security incidents;

Comply with applicable law and enforce our Terms of Service.

AI-Powered Onboarding and Playbook Generation

PetPlaybook's onboarding conversation and Playbook-building features are powered by Anthropic's Claude API. The content of your onboarding conversation, along with the pet information you provide, is sent to Anthropic for processing in order to generate your pet's care Playbook. Anthropic processes this content under its standard commercial API terms and does not use API content to train its models. We do not send your insurance policy/member number, your phone number, or your zip code to Anthropic as part of this processing — only the pet-related conversation content needed to build the Playbook.

How We Share Your Information

We do not sell your personal information. We share information with the following categories of service providers, each of which is only permitted to use it to perform services on our behalf:

Supabase — Database, authentication, file storage, and backend functions; hosts all owner, pet, and caregiver data. Data involved: all account, pet, insurance, and caregiver data.

Anthropic (Claude API) — Powers the onboarding conversation and generates the Playbook. Data involved: onboarding conversation content and pet information.

RevenueCat — Tracks subscription plan and status. Data involved: subscription state (no payment card data).

Insert Affiliate — Attributes a subscription purchase to the referral link or QR code that led to it, so we can credit our affiliate partners. Data involved: a referral/affiliate identifier and device information used to resolve it. No payment or account information is shared.

Apple App Store / Google Play Billing — Processes subscription payments. Data involved: payment details, handled entirely by Apple/Google; PetPlaybook never receives or stores your card information.

Firebase Cloud Messaging — Delivers push notifications.
Data involved: device push token.

Firebase Hosting — Serves the caregiver web view. Data involved: content shared with a caregiver (e.g., care notes, emergency view).

Resend — Sends transactional and notification emails. Data involved: email address, relevant notification content.

Mailchimp — Sends our newsletter to users who opt in. Data involved: email address, first name, pet count, and subscription plan tier.

Meta (Facebook and Instagram) — Measures which of our ads lead to app installs and subscriptions. Data involved: device advertising identifier (on iPhone, only if you allow tracking), app install, account created, Playbook finished, and subscription events (free trial started, subscribed, renewed). No pet, conversation, health, insurance, or caregiver information is shared.

Sentry — Error and crash tracking. Data involved: diagnostic/crash data.

Sign in with Apple / Google Sign-In — Authentication. Data involved: basic profile information from the provider.

We may also disclose information:

For legal and safety reasons — if required by law, or if we believe in good faith that disclosure is necessary to comply with legal process, protect the rights or safety of PetPlaybook, our users, or others, or investigate fraud or security issues.

In a business transfer — if PetPlaybook is involved in a merger, acquisition, financing, or sale of assets, subject to applicable law.

In aggregated or de-identified form that no longer identifies you.

Subscriptions and Payments

Subscriptions are purchased and billed through the Apple App Store or Google Play Billing, depending on your device. Apple or Google processes your payment directly — PetPlaybook never sees or stores your card details. We use RevenueCat to keep track of your plan and whether your subscription is active or lapsed, so the app can unlock the right features.

Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information from loss, misuse, and unauthorized access, including relying on our providers' (e.g., Supabase's) security controls for stored data. However, no method of transmission over the internet or storage system is completely secure, so we cannot guarantee absolute security.

Data Retention

We retain your information for as long as your account is active or as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. If you delete your account, we permanently delete your personal information (including pet, insurance, and caregiver-shared data) thirty days after deletion, or immediately if you choose the permanent deletion option described below — except where we are required to retain certain information for legal, security, or fraud-prevention purposes.

Your Choices and Rights

Access and Update. You can review and update your account and pet profile information, including insurance details, directly within the app.

Account Deletion. You can delete your account, or an individual pet, at any time directly within the app, under Me > Account > Delete Account. You can also request deletion by visiting https://petplaybook.com/delete-account or by contacting us at the email address below.

Two forms of deletion are available, and you choose which one applies.

Delete with recovery. Your account closes immediately: access ends and any caregiver links you created stop working. The underlying record is kept in a recoverable state so you can restore it if you change your mind. Thirty days after deletion it is permanently erased, including pet profiles, insurance information, and caregiver content tied to your account.

Delete permanently. The same data is erased right away and cannot be recovered. This is how we honour a request to delete your personal information under the California Consumer Privacy Act and comparable state privacy laws, and it is available to you directly in the app at any time, without contacting us or verifying your identity first.

In both cases we erase the data except where we are required to retain certain information, as described in "Data Retention" above.

Marketing Communications. When you create your account, the option to receive our newsletter by email is selected by default. You can turn it off during sign-up, or at any time afterward under Me > Account, or by using the unsubscribe link in any newsletter email — any of these stops future newsletter email within a few business days. You may still receive service-related messages, such as those related to your account or subscription.

Push Notifications. You can turn off push notifications at any time through your device settings.
Advertising Tracking. On iPhone, PetPlaybook shares nothing with Meta for advertising unless you tap “Allow” on Apple’s tracking prompt, and you can change this at any time in Settings > Privacy & Security > Tracking. On Android, you can delete or reset your advertising ID in your device’s Settings > Privacy > Ads. You can also ask us to stop sharing your information for advertising by emailing us at the address below.

Sharing. You control what you share and with whom — including the emergency view containing insurance information — and you can revoke a caregiver's access at any time within the app.

Caregivers

Caregivers you invite do not create a PetPlaybook account. They access shared pet information (and, if you choose, the emergency view) through a link, and may add notes or photos back to the pet's profile if you've given them that ability. Because caregivers don't hold accounts, the "Account Deletion" process above is initiated by you, the pet owner; if you'd like caregiver-submitted content removed, you can delete it from within the app or revoke the caregiver's access link.

Children's Privacy

The Services are not directed to children under 13 (or the applicable age of digital consent in your region), and we do not knowingly collect personal information from children. If we learn that we have collected personal information from a child without appropriate parental consent, we will delete that information.

California and Other U.S. State Privacy Rights

If you are a resident of California or another U.S. state with a comprehensive privacy law, you may have the right to:

Know what personal information we have collected about you and how it has been used and shared;

Request access to a copy of your personal information;

Request correction of inaccurate personal information;

Request deletion of your personal information, subject to certain exceptions. You do not need to contact us to exercise this right: the "Delete permanently" option described under "Your Choices and Rights" above erases your personal information immediately, directly in the app, with no request to process and no identity verification step;

Not be discriminated against for exercising these rights.

We do not sell personal information. We share a device advertising identifier and a small set of app and subscription events with Meta to measure our advertising, as described under “Advertising Measurement” above, and some state laws treat this as “sharing” personal information for cross-context behavioral advertising. You have the right to opt out of this sharing: see “Advertising Tracking” under “Your Choices and Rights” above, or contact us using the information below.  Our insurance policy/member number field may be considered sensitive personal information under some state laws; we collect it only if you choose to add it, and we use it solely to display it back within the emergency view you control. To exercise any of the rights above, please contact us using the information below. We may need to verify your identity before completing your request.

International Users

If you access the Services from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States or other countries where we or our service providers (listed above) operate. By using the Services, you consent to this transfer.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the "Last Updated" date above and, where appropriate, through the app or by email. We encourage you to review this policy periodically.
